We have an immediate opening for an Office Coordinator in our Los Angeles, LA office. This person will keep the office running smoothly through a service-oriented attitude, attention to detail, and proactive problem-solving. We are looking for a motivated people-person with an upbeat attitude who genuinely enjoys supporting others. The Office Coordinator will be responsible for greeting/directing guests, answering/routing calls, supporting office operations, and completing general administrative tasks.

Duties & Responsibilities:

  • Greet clients, vendors, and other visitors with a positive and welcoming demeanor.
  • Assist MD’s and Account Leads with client visits and meetings, including set up of meeting rooms, welcome screens, transportation, ordering catering and honoring special requests
  • Screen and direct phone calls, voicemails, appropriately
  • Handle all mail for the office and serve as the administrator on company shipping account, assisting with both incoming and outgoing shipments.
  • Facilitate security procedures such as granting guest/vendor access, issuing fobs, providing visitor badges. Update and communicate building and company safety protocol as-needed.
  • Work with the Operations Manager, North America to oversee basic facilities management, submitting work orders and partnering with property management to handle maintenance issues in a timely manner.
  • Be responsible for the daily upkeep of the office. Including keeping the office tidy and clean. Stocking coffee and snacks, and ensuring cafes, conference rooms, and collaboration areas stay clean and presentable throughout the day.
  • Ordering of all coffee and snacks
  • Managing organization and ordering of all office, shipping and printing supplies
  • Provide support to the Operations Manager and LA Office Leadership on a variety of projects and tasks including inventory management, office organization and expense reports.
  • Schedule and facilitate internal and external meetings and events, keeping Google calendar updated.
  • Keep LA staff informed on all office happenings through clear, proactive communication. Examples of this could include weekly emails announcing client visits, new employees, upcoming meetings, building maintenance, etc.
  • Assist with basic marketing and PR tasks/support client work as-needed, including but not limited to printing, binding and shipping proposals.
  • Assist with LA Culture Crew administrative duties, as well as be an active member.
  • Welcoming all New Hires with an office tour, as well as setting up their desk and securing name plates.
  • Serve as Point of Contact for all Business Card requests.
  • Provide support to other North American offices as needed

Requirements:

  • High school diploma, GED Certificate, or equivalent
  • At least one year of administrative work experience - service industry experience a plus
  • Proficiency in Google Suite a plus
  • Srong written and verbal communication skills
  • Upbeat, positive, can-do attitude/approach
  • Resourceful, energetic self-starter and independent thinker
  • Open and receptive to ongoing feedback from direct supervisor and general staff

Salary Range: 47-55k
